Stakeholder Privacy Notice

 Tees Valley Sport respects your privacy and is committed to protecting your personal data. This privacy notice will inform you as to how we look after your personal data and tell you about your privacy rights and how the law protects you.

  1. Who are we

Tees Valley Sport is one of 43 Active Partnerships in England and are hosted by Teesside University in Middlesbrough. Teesside University is the Data Controller.  We work with partners across the Tees Valley which includes the local authority areas of Redcar & Cleveland, Stockton on Tees, Middlesbrough, Darlington and Hartlepool. Active Partnerships are responsible for rolling out the local delivery of Sport England initiatives and, in some cases, the dissemination of Sport England Funding.

  1. Why your Personal Data is Collected

Tees Valley Sport processes your personal data for the purpose of enabling the collaboration and sharing of information between individuals participating in the work and delivery of a specific project or programme. 

We may also use your personal information for;

Personal data is collected primarily from the data subject when you contact us or access any of our products and services.  This will usually be via online or paper-based surveys, interviews, application or registration forms or from information collected through the Tees Valley Sport website. 

In addition data may be collected from other organisation websites.  We will state clearly the information we will be collecting when your apply, sign up or contact us for a service.  We do not use systems to make automated decisions about you.

  1. How Your Personal Data is shared with 3rd parties

Tees Valley Sport will only share your personal data with external third parties where we are permitted to do so under Data Protection Legislation.  Before sharing we will always ensure that our partners have sufficient measures in place to protect your information in the same way we do.   

Where we have a lawful basis, we may pass Personal Data to third parties in the following circumstances:

5.1 With an approved third party who works in a similar area or where there is mutual organisational benefit such as sharing details of a local charity with Social Prescribers. 

5.2 For the administration of event bookings, surveys and applications.

5.3 We may share information provided to us with other bodies responsible for auditing or administering public funds such as Sport England in order to prevent and detect fraud.

When processing your personal data, Tees Valley Sport will rely on one of the following lawful bases:

International processing is not envisaged within this activity but in the event that it is necessary to transfer data outside the EEA this is done pursuant to an agreement which ensures that necessary safeguards are in place.

We take technical and organisational measures to protect all of the Personal Data we hold. Only authorised employees and contractors have access to your Personal Data.

  1. Personal Data Retention Periods

We will only retain the Personal Data we hold about you as long as necessary and in accordance with the Teesside University‘s Retention Policy.

  1. Your Responsibilities

The UK GDPR requires that personal data is accurate. It is essential that you let Tees Valley Sport know if any information you have provided changes. If you fail to update your details, Tees Valley Sport cannot take responsibility if any information you require is sent to the wrong address or shared with relevant parties.  

  1. Your Rights

As a data subject you have certain rights:

Right to complain  You have the right to lodge a complaint with the Information Commissioner’s Office details are provided below;

Right to access personal data: You can find out what information we hold about you by making a subject access request.  The request can be made free of charge, by writing to  the Data Protection Officer, details of which are below.

Right to Erasure (Right to be Forgotten)  You have the right to have the Personal Data we hold about you erased;

Right to object You have the right to object at any time to the processing of your Personal Data;

Right to withdraw Consent  Where consent forms are the basis for processing, you have the right to withdraw your consent to the processing at any time;

Right to Data Portability  If you request us to we will transmit your Personal Data directly to another organisation;

Right to Rectification  You have the right to ask us to rectify inaccurate information held about you without undue delay.

These are not unqualified rights and the Tees Valley Sport may not be able to act on your request in certain circumstances.
